How to sign project proposals

Signing Project proposals in Denmark Data Window

Project proposals are signed directly in the Denmark's Data Portal by both Research Service and the user assigned as the Signatory.

Step 1

Once you have submitted your project proposal to Research Service, it will be reviewed by an employee to assess whether it can be approved.

If it is determined that a proposal cannot be approved, the project's contact person will receive an explanation from the project manager in Research Service and will also have the opportunity to adjust the project proposal.

After your project proposal has been approved, an employee in Research Service will initially sign it. Subsequently, the project's contact person, the administrator, or the authorized contact person who submitted the proposal and the selected Signatory will receive an email notification stating that your project proposal has been approved and signed.

Step 2

Now it's your turn to sign the project proposal.

Before you submitted the project proposal, you designated at least one user as Signatory.

The designated Signatory(ies) should sign the project proposal in the Denmark's Data Portal. Only users who have been assigned the role of Signatory can sign project proposals.

Step 3

If you are a signatory and wish to sign the project submission, log in to Denmark's Data Portal. On the homepage of Denmark's Data Portal, click on "My Overview," followed by "Project Submissions for Signature." Here, you will see all the project submissions that are ready to be signed by you.

Click on the project submission you wish to sign. You can now review the project submission, see who has access to the project, identify the project's contact person, and view the signatories associated with the project. If you choose to, you can decline to sign, and the project submission will be sent back to the contact person for revision.

If you wish to sign the project submission, click the blue button that says "Sign." Read through the signature terms, and check the two boxes to confirm that you want to sign the project submission and that you are employed at the respective institution. You can now press the blue button that says "Sign."

Once you, as a signatory, have signed the submission, the project's contact person in Research Service and the submitter will receive an email about the further process.

There are no limitations on the number of users who can have the signatory role.

Please be aware that it is a requirement that individuals with the signatory role are formally employed at the institution where they hold the signatory role. It is your responsibility as responsible for the authorization or substitute to ensure that the signatory meets this requirement.

Furthermore, please note that individuals with the signatory role on behalf of the institution can sign off on the legality of a project submission in accordance with the General Data Protection Regulation, Article 6.

Procedure:

When you, as responsible for the authorization or substitute, want to assign a user the role of signatory, log in to Denmark's Data Portal.

  • On the homepage of Denmark's Data Portal, click on "My Overview."

  • Then select the institution you wish to manage.

  • Click on the three dots next to the institution's name and choose "Manage Signatories."

  • Click "Select" next to the users you want to designate as signatories and press "Save."

  • If you wish to remove a user from the signatory role, click on the checkbox to remove it and then press "Save."

The user is now designated as a signatory and can be chosen by users and administrators to sign project submissions on behalf of the institution.
